Job Description:

Bains Partners is recruiting a legal administrative assistant to provide assistance to the managing partner during his day-to-day operations.  The successful candidate will be helping on a number of criminal defence files and ensuring that the firm is operating smoothly.  This assistant must be able to receive assignments in a high-pressure, short-deadline environment and complete same efficiently and accurately.

The duties will include:

  • Coordinating meetings for the partner at the firm our elsewhere (including travel arrangements, amenities, telephone and video-conferences, etc.) and prepares/provides the partner with all information required (e.g. back up materials, briefing notes, relevant correspondence and memoranda).

  • Managing all incoming correspondence from clients, prosecutors, police officers and salespersons (verbal and written) to determine the urgency, level of attention required and initiating any preliminary action required to ensure the effective use of the partner's time. 

  • Tracking and ensuring deadlines are met.

  • organizing the firm's schedule and keeping an up-to-date list of things to do for the senior partner

  • maintaining the cleanliness of the office 

  • receiving and completing dictation 

  • assisting in client meetings

  • periodically attending court appearances, when needed

  • Keeping the partner and immediate team informed and up-to-date about the status/progress of projects, and all relevant or useful information related to day-to-day activities.

  • Overseeing the management and maintenance of equipment and supplies for the office 

  • Processing invoices to be paid


We are not a large firm that staffs hundreds of employees, rather, we are a boutique firm that is constantly interacting with each other every day.  The position is best suited for an assistant who is comfortable in this type of setting

Job Requirements:

  • Ability to be a part of the team

  • Exceptional interpersonal and communication (verbal and written) skills in dealing with all levels of the Firm 

  • Strong customer service orientation with ability to develop productive and professional relationships with staff and clients

  • Exemplary organizational, prioritization and time management skills in fast paced & pressured environment - strong attention to detail.

  • Ability to take initiative

  • Excellent written and verbal communication skills, and have the flexibility and adaptability to handle a variety of challenges on short notice.

  • Accurate (dicta) typing of 70-80 words per minute, minute-taking, correspondence 

  • Comfort in working independently with minimal guidance and oversight.

  • Expert knowledge of computers including MS Word, Excel, Outlook and PowerPoint, document conversions and scanning

  • Flexibility with work hours is required including on-call and after hours work

  • Knowledge of legal procedures and practices

  • Maintaining solicitor-client privilege
