Job Description:

Our client, a property management company located in Markham, is currently looking to add a Facilities Coordinator to their team!

The Facilities Coordinator is responsible for managing the day-to-day activities to support all property managers, various facilities, and projects.The coordinator uses the company's facility management technology system to process and assign work requests and coordinates On-demand repair services, scheduled maintenance, emergency requests, and projects of all buildings and properties.

Responsibilities:
  • Manage contractor and service provider relationships including contractor compliance
  • Responsible for processing and assigning service requests to contractors and service technicians
  • Responsible for scheduling all tasks related to property maintenance
  • Manage and follow up on work progress and completion
  • Manage contractor and service provider trade certificate, insurance, and worker compensation certificate.
  • Address emergency requests in a timely manner
  • Ensure all priority work orders are address and completed as assigned
  • Monitor the work order management system for all incoming service request
  • Review and monitor day-to-day contractor performance, and project completion.
  • Create purchase orders, processes invoices, and ensures vendors are paid in an accurate and timely manner
  • Obtain and process contractor quotes and proposals
  • Report monthly on KPIs related to work order performance
  • Provide support to property managers as required
  • Serve as the point of contact for suppliers, sub-contractors, and clients for the coordination of services
  • Keep clients informed regarding work progress
  • Perform other duties as assigned

Job Requirements:

  • Ability to read, write and communicate in English to the degree necessary to perform the job
  • Excellent skills in MS office: Excel, Word, PowerPoint, and third-party software
  • Ability to work independently and with the property management team
  • Knowledge of work order management systems
  • Technically inclined with excellent organizational skills
